Use this sign-in sheet to capture all of the names and contact information for your event attendees. Enter the information into your own database and send the information to Focus too so we can keep attendees informed about our latest national activities.
When sending to members of the media, paste entire media advisory into the body of the email. To figure out who to send this information to there are a few options:
1. If you're at a university or with an organization who has a Communications or PR person on staff, this person will know (or can quickly find out) who covers the following issues: education, environment, business, lifestyle, politics and science. If you are working with a highly engaged sponsor of the event, they will also most likely have a PR person to help you.
2. Ask this person to send your customized release and call the reporters on your behalf. They most likely already have a relationship with the reporters and will make your job much easier.
3. If you don't have access to a Communications or PR person, simply research the above categories in bold at the local papers in your area. The reporter's name, email and phone number typically follow their story. If their contact info is not listed, you can always call the main line of the publication and ask for their contact info. For a comprehensive list of news outlets and editors in your area, try this great tool from the League of Rural Voters.
4. Remember, your Town Hall is unique to your community. If you have a Congressperson attending and know that you'll be talking more about green economy issues, then you'll want to reach out to the political report and the business reporter as opposed to the science. If you're in a community that is still wrestling with the science of the clean energy future and will be featuring a key note by a prominent scientist, then you'll want to reach out to the science reporter. 1. Plug your specific info into the Template where you see RED ink.
2. Call your local Associated Press contact to get the email of who to send advisory to. Find AP phone number in your area here.
3. In the subject line of the email, use this: 4/18: Young Leaders Call Senators, Electeds to Town Halls to Accelerate America's Clean Energy Future
4. Send media advisory to AP contact.
5. Send Media Advisory to your three local TV stations and your top local newspaper. Go wild if you have more local outlets.

PDF – Files are ready to be sent to a printer, with white space for location & time info to be hand written after printing.
Word – Files are Microsoft Word documents that have a non-editable image with white space to type location & time info.
JPG – File is an image for use on the interent or in a document.
